Raw Life Australia Pty Ltd is committed to protecting your privacy and handling your personal information with care.

This Privacy Policy explains how we collect, use, store, disclose and protect personal information in connection with our classes, personal training, coaching, workshops, seminars, online courses, websites and related services.

This policy applies to Raw Life Australia Pty Ltd and the programs, brands and services we operate, including Raw Life Australia, Raw Combatives, Raw Kickboxing Fitness, Raw Teens Kickboxing & Self-Defence, BareBones Combatives, and any related workshops, seminars, online courses or training programs.

Because we collect health information, we're bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs) regardless of our turnover. The full APPs are available at oaic.gov.au.

1. What personal information we collect

The types of personal information we may collect include:

  • Your name, address, phone number and email address

  • Date of birth

  • Emergency contact details

  • Parent or guardian details for children and young people

  • Class, membership, attendance and training information

  • Enquiry, booking and trial class information

  • Waiver and consent form information

  • Payment and billing information

  • Communications you have with us by email, phone, SMS, social media, website forms or in person

  • Photos, videos, reviews and testimonials, where relevant

  • Any other information you choose to provide

2. Health and sensitive information

Because we provide martial arts, self-defence, kickboxing fitness, personal training, coaching and related physical training services, we may collect health or sensitive information where it's reasonably necessary to deliver our services safely.

This may include information about:

  • Injuries

  • Medical conditions

  • Physical limitations

  • Medications

  • Allergies

  • Disability-related needs

  • Neurodiversity or behavioural support needs

  • Mental or emotional wellbeing considerations

  • Previous training experience

  • Fitness levels and goals

  • Medical clearance from a doctor or health professional

  • Incident, injury or safety-related information

We only collect health and sensitive information where it's reasonably necessary, where you provide it to us, where we have your consent, or where we're required or authorised by law.

We use this information to make reasonable decisions about training safety, participation, class suitability, emergency response and support needs. We never use health information for marketing.

3. Children and young people

We run classes and programs for children and teenagers. For children and young people, we collect personal information from a parent or guardian, including:

  • The child or young person's name, age and date of birth

  • Parent or guardian contact details

  • Emergency contact details

  • Relevant health, medical, injury or wellbeing information

  • Participation consent

  • Photo and video consent

  • Any information needed to support safe and appropriate participation

Parents and guardians are responsible for making sure the information they provide is accurate, complete and up to date.

  • Jotform waiver and health screening forms

  • Booking forms

  • Trial class forms

  • Parent or guardian forms

  • Medical clearance forms

  • Incident reports

  • Third parties where appropriate (parents, guardians, carers, support workers, health professionals, schools, organisations, employers or event organisers)

Where reasonable and practical, we collect personal information directly from you — or from a parent or guardian where the participant is a child or young person.

5. Why we collect, hold and use personal information

We use personal information to:

  • Respond to enquiries

  • Provide classes, coaching, training, seminars, workshops and online courses

  • Assess whether participation is safe and appropriate

  • Manage memberships, bookings, payments and attendance

  • Communicate with clients, parents, guardians and participants

  • Provide updates about classes, timetables, closures, events and services

  • Manage trial classes, onboarding, waivers and consent forms

  • Respond to injuries, incidents, emergencies or safety concerns

  • Keep appropriate business, legal, insurance and accounting records

  • Improve our services

  • Promote our services, where permitted

  • Send marketing communications, where you have consented or where the law allows

6. Photos, videos, testimonials and social media

We may take photos and videos during classes, workshops, seminars and events. We may also receive reviews or testimonials from clients, parents, guardians and participants.

We may use this material for:

  • Social media (Facebook, Instagram, LinkedIn)

  • Our website

  • Google Business Profile

  • Printed and digital marketing

  • Advertising

  • Emails and newsletters

  • Promotional material for Raw Life Australia, Raw Combatives, Raw Kickboxing Fitness, Raw Teens Kickboxing & Self-Defence, BareBones Combatives and related services

Consent: We use photo and video material with consent. Adult participants confirm their consent preference in their Membership Form (with an option to opt out). For children and young people, consent is obtained from a parent or guardian before any image is used.

You can withdraw consent at any time by contacting us in writing. We'll take reasonable steps to stop future use, but we may not be able to remove material that's already been printed, published, shared or stored by third-party platforms.

7. Website, cookies and online services

When you use our website or online forms, some information may be collected automatically — such as your browser type, device information, pages visited, referral source and general usage data.

We use cookies, analytics tools and similar technologies (including Google Analytics and Squarespace's built-in analytics) to operate our website, understand traffic, respond to enquiries, manage marketing and improve our services.

You can control cookies through your browser settings. Some features may not work as well if you disable cookies.

8. Third-party platforms and service providers

We use trusted third-party platforms and service providers to operate our business. These currently include:

  • Jotform — membership forms, waivers and health screening

  • Squarespace — website hosting and contact forms

  • Worldpay — direct debit processing (fortnightly and monthly membership billing)

  • Stripe — card payments (in-person via phone) and online course payments

  • Google services — including Gmail, Google Drive and Google Analytics

  • Apple services — devices and iCloud

  • Meta platforms — Facebook and Instagram (messaging, advertising and posts)

  • LinkedIn — professional content and engagement

  • Accountants, bookkeepers and other professional advisers

  • IT, cloud storage, email and marketing service providers

These providers may collect, store, process or access personal information on our behalf or in connection with the services they provide.

We do not sell or rent your personal information to anyone.

9. Disclosure of personal information

We may disclose personal information where reasonably necessary, including to:

  • Service providers who help operate our business

  • Payment processors

  • Professional advisers (accountants, insurers, lawyers, IT providers)

  • Emergency services, where needed for safety

  • Parents or guardians, where relevant to a child or young person

  • Event organisers, schools, organisations or employers, where relevant to a workshop, seminar or program

  • Government, regulatory or law enforcement bodies, where required or authorised by law

  • Any other person or organisation where you've consented

We may also use or disclose personal information where reasonably necessary to protect the health, safety or wellbeing of a participant or another person.

10. Overseas disclosure and storage

Some of the third-party platforms we use store, process or access personal information outside Australia — typically in the United States, where many of these providers are based.

We take reasonable steps to use reputable providers with appropriate privacy and security practices.

11. Security of personal information

We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification or disclosure. These steps include:

  • Password protection and access controls on devices and accounts

  • Two-factor authentication on critical systems

  • Limiting access to those who need it

  • Using reputable cloud and software providers

  • Keeping most client information in digital systems rather than paper files

Access to client personal information is generally limited to Jim Armstrong and Geordie Armstrong, unless access is reasonably necessary for the operation of the business or for safety, legal, insurance, accounting, technology or professional advice purposes.

No method of electronic storage or transmission is completely secure. We take privacy seriously and aim to handle information carefully and responsibly.

12. Retention and destruction of personal information

We keep personal information only as long as reasonably necessary for the purposes it was collected:

  • Member records (including health information): while you're a member, plus 7 years after your last activity (in line with tax, insurance and limitation period requirements)

  • Incident and injury records: at least 7 years (longer for incidents involving children and young people, where required by law)

  • Enquiries that don't become memberships: up to 12 months

  • Marketing list: until you unsubscribe

When personal information is no longer needed and we're not legally required to keep it, we take reasonable steps to destroy or permanently de-identify it.

13. Accessing or correcting your personal information

You can:

  • Ask what personal information we hold about you

  • Ask us to correct it if it's wrong, out of date, incomplete or misleading

  • Withdraw consent for marketing or photo/video use

  • Ask us to delete information where we don't have a legal reason to keep it

Contact us in writing to make a request. We may need to verify your identity before releasing or changing information. In some cases, we may refuse access or correction where the law allows — if so, we'll explain why.

We don't charge a fee for access requests but may charge a small administrative fee for copies of information.

14. Data breaches

If we become aware of a privacy incident or data breach, we'll take reasonable steps to contain, assess and respond.

Where a breach is likely to result in serious harm, we'll notify affected individuals and the Office of the Australian Information Commissioner under the Notifiable Data Breaches scheme.
